The payment of the registration fee is compulsory to participate in the Congress both as auditor or as an oral or poster presenter.

The Registration Fee for Delegates includes

  • Admission to all sessions
  • Admission to the exhibition area
  • Coffee, tea, refreshments and lunches during breaks throughout the Conference
  • Opening Ceremony at the Congress Venue on July 8th
  • Welcome Cocktail at the Noble Hall (Congress Venue) on July 8th

The Registration Fee for Accompanying Persons includes

  • Welcome Cocktail at the Noble Hall (Congress Venue) on July 8th
  • Visit to the Lello Bookshop

Note: The accompanying person fee does not include admission to the scientific sessions, the exhibition area or any meals during the Meeting.


For some nationalities, a Visa is required in order to enter Portugal. Foreign participants should contact the Portuguese Embassy or Consulate in their home country to determine their particular Visa requirements. Participants requiring Visas should initiate the application process at least 3 months prior to their departure date.

The Organising Secretariat OIC is not able assist participants with their Visa application and cannot intervene with Embassies or Consulates on behalf of any participant.

Letter of Invitation (for Visa Application)

To request a Visa invitation letter please log into the online registration tool and enter the module “Invitation letter request”.
Only participants fully registered in the conference can obtain a personal invitation letter and only once the full payment of the registration fee is received.
Relevant expenses for hardcopy of the invitation letter sent by express courier must be paid in advance.

Important notice: visa invitation letter only aims to assist participants who need to obtain a visa or permission to attend the Congress and it is not a commitment from the organizers to cover any kind of expenses or to provide any financial support. All expenses incurred in relation to the conference remain the sole responsibility of the participant.


In order to simplify the registration procedures of their guests, companies/agencies can collect their delegates’ congress kits before the official beginning of the Congress.
An official request must be sent to OIC Housing & Registrations Department, 3-4 weeks before the beginning of the event to define and agree a pick up time.

The service is available by appointment only, and provided the registration lists are complete with the compulsory data required. No material will be given in case of incomplete or missing data.

Otherwise, the material can be picked up by each single delegate. The congress material of each participant will be available at the pre-registration desk during the Secreteriat’s regular opening hours, as indicated in the Scientific Program.


Registrations and services can be confirmed only after receipt of full prepayment. All payments (registrations, course and dinner) can be processed through:
Credit cards The following credit cards are accepted: American Express, VISA, MasterCard.

  • Off-line registrations and requests of pro-forma invoices sent by fax or mail are subject to an additional € 19,00 administration charge.
  • Any modification on VAT number or billing address, requested after the issuing of the invoice incurs a € 30,00 administration charge.
  • Name changes incur a handling fee of € 39,00 per registration.


For any change or cancellation a written notification must be sent to OIC Housing & Registration - Fax +39 055 57 02 27, E-mail:

  • For cancellations received by January 27th, 2020: a penalty charge of 30% will be applied.
  • For cancellations received by June 25th, 2020: a penalty charge of 70% will be applied.
  • No refund will be processed for cancellations received after June 25th, 2020.

Should a delegate not attend the congress, for whatever reasons, no further claims for reimbursement can be made. All delegates are urged to take personal travel insurance.
